These terms apply to Coffee & Connect Event Box online orders. They supplement the confirmations you accept during checkout and explain the operational and fulfillment rules ProVia uses to safely price and deliver Event Box orders.

Venue rules

Event Box delivery assumes the venue, building, or event host allows outside food and beverage delivery. The client is responsible for confirming venue policy before checkout.

If approval depends on a manager, vendor list, insurance certificate, or catering restriction, use manual review instead of online checkout.

Food, beverage, and allergen limitations

  • Food and beverages may be prepared, packaged, transported, or handled by third-party commercial suppliers.
  • ProVia cannot guarantee allergen-free ingredients, preparation spaces, packaging, vehicles, or delivery handling.
  • Cold food selections require venue refrigeration or safe cold storage after delivery.
  • Alcohol is not available through Event Box online checkout.
  • Event Box food and beverage add-ons come from approved commercial suppliers, not home preparation.

Supplier sourcing, substitutions, and availability

Event Box items are sourced from ProVia-approved commercial suppliers based on guest count, delivery timing, location, and availability. ProVia may substitute equivalent or better items when a selected supplier item is unavailable, unsuitable for transport, or impractical for the confirmed event logistics.

Cancellation, timing, and logistics review

  • Online checkout is limited to orders that meet the displayed notice window and confirmation requirements.
  • Urgent orders, uncertain venue approval, public events, and special logistics may require manual review before payment or fulfillment.
  • Supplier substitutions, delivery timing adjustments, or logistics follow-up may be needed after payment if venue access, supplier availability, or staffing requirements change.
  • Cancellations and major order changes are subject to supplier commitments, purchased goods, staffing, delivery planning, and the event date.

Onsite coffee requirements

Onsite coffee service requires venue approval for brewing equipment, safe power access, potable water or approved bottled water, and practical delivery access for equipment and staff. If any requirement is uncertain, request manual review.
