What's included

Every Coffee & Connect Event Box includes the essentials below. ProVia plans quantities, coordinates suppliers, and handles delivery logistics—you set up and serve at the venue unless you add staffed support.

What you handle at the venue

Setup and serving stay with you unless you select setup service or staffed support. Alcohol is not included in the base kit or standard add-ons.

You will need your guest count, event date, delivery address, venue permission for outside food and beverage, and an onsite contact. The quote panel will show whether the order can check out online or needs manual review.

Event details

Order for any guest count from 15 to 400. ProVia calculates quantities, delivery, tax, and required logistics behind the scenes.

Standard online checkout notice

  • 15-75 guests: at least 72 hours notice
  • 76-150 guests: at least 5 business days notice
  • 151-400 guests: at least 7 business days notice

If your event is inside these windows, calculate a quote and use the manual review option instead of automatic checkout.

Add-ons

The base kit is already included. Use this step only if you want meal add-ons, drink upgrades, setup support, extra staff, or workshop materials. Prices scale by guest count and update in the quote panel.

Food add-ons include plates, napkins, and serving supplies.

Bottled water is included. Upgrades are priced per guest and may use equivalent supplier substitutions.

Optional support for setup, light service, refills, or cleanup beyond any required staffing already included.

$35/hr with a 3-hour minimum per extra staff member. Leave at 0 if included staffing is enough.

Delivery and venue

Delivery fee is estimated from your postal code distance to ProVia's Aurora fulfillment base. City should still match your postal code for supplier and driver coordination.

Contact and confirmations

These confirmations keep online checkout limited to orders ProVia can safely price and fulfill. If anything is uncertain, request manual review.

Venue rules

Please confirm the venue allows outside food and beverage delivery before using online checkout. If venue rules are unclear, use manual review instead.

Food safety
Food, beverage, and allergen limitations
  • Food and beverages may be prepared, packaged, transported, or handled by third-party commercial suppliers.
  • ProVia cannot guarantee allergen-free ingredients, preparation spaces, packaging, vehicles, or delivery handling.
  • Cold food selections require venue refrigeration or safe cold storage after delivery.
  • Alcohol is not available through Event Box online checkout.
  • Event Box food and beverage add-ons come from approved commercial suppliers, not home preparation.

Supplier sourcing, substitutions, and availability

Event Box items are sourced from ProVia-approved commercial suppliers based on guest count, delivery timing, location, and availability. ProVia may substitute equivalent or better items when a selected supplier item is unavailable, unsuitable for transport, or impractical for the confirmed event logistics.

Cancellation, timing, and logistics review
  • Online checkout is limited to orders that meet the displayed notice window and confirmation requirements.
  • Urgent orders, uncertain venue approval, public events, and special logistics may require manual review before payment or fulfillment.
  • Supplier substitutions, delivery timing adjustments, or logistics follow-up may be needed after payment if venue access, supplier availability, or staffing requirements change.
  • Cancellations and major order changes are subject to supplier commitments, purchased goods, staffing, delivery planning, and the event date.
